Best POS Software in Ghana: Features, Costs and How to Choose
Compare POS software for Ghanaian shops using offline selling, MoMo, inventory, hardware and real ownership costs. A practical guide from the founder of Ventrix RMS.
Lead Architect & Founder, Ventrix RMS
Written by the founder of Ventrix RMS. Product recommendations reflect that perspective; comparisons cite vendor sources and identify limitations.
The best POS software for a Ghanaian shop is the system that handles its real trading day: a busy counter, a changing stock list, cash and Mobile Money, staff handovers and an occasional dropped connection. Start with those jobs, then compare the subscription and setup cost. A long feature list is useful only when the features work together for your business.
I build Ventrix RMS, so this is a founder's buying guide rather than an independent ranking. I explain where Ventrix fits, link to other vendors' own information and give you a practical evaluation you can use with any supplier. Vendor information was checked on 27 October 2026. Confirm the current offer before buying.
Start with the kind of shop you actually run
A provision shop with one owner, a supermarket with rotating cashiers and a business with three branches have different requirements. Before booking a demonstration, write down your active product count, the number of staff who need access, the number of branches and how you accept payment. Include the hardware you already own.
Be specific about your stock. Do you sell the same item in different sizes? Do your records distinguish a carton from one piece? Do customers buy on credit? A supplier should demonstrate those examples using the intended workflow. Do not assume that a checkbox labelled inventory covers every unit, variant or credit arrangement.
Separate your must-haves from future possibilities. A second branch next year matters to the decision, but a working first branch matters today. Choose a system you can start using without paying for an imagined operation.
The seven things to test before choosing a POS
1. A complete checkout
Ask the demonstrator to find an item by name, scan its barcode, adjust a quantity, complete a sale and produce a receipt. Then check how a permitted discount or correction appears. The useful question is whether a cashier can perform the correct action quickly while an owner can still understand what happened later.
Use a realistic basket rather than one demonstration product. A combination of common goods, an item with a similar name and a product with a variant reveals more than a polished opening screen. Test your printer and scanner model rather than assuming all connections behave identically.
2. Offline selling and reconnection
An offline claim needs a demonstration. Prepare the device while connected, disconnect it, record a suitable test sale and reconnect. Check both the local result and the server record after synchronization. Ask what happens to cached products, user sessions, pending sales and remote reporting.
Offline POS does not mean online payment providers work without internet. It also does not keep an unpowered computer running. Our offline POS guide explains these distinctions and a practical acceptance checklist.
3. Stock that matches the shelf
Ask how opening quantities are entered, how sales affect stock and how staff investigate a difference after a physical count. Look for clear product identifiers and branch-specific quantities. A report is difficult to trust when two records describe the same item or a pack is sometimes treated as one piece and sometimes as twelve.
If you are moving from a notebook or spreadsheet, inspect the import process. A small representative file should go through the same validation as a full catalog. The inventory management guide covers a sensible starting process.
4. Mobile Money collection versus recording
There are two distinct capabilities: marking a sale as MoMo and requesting or verifying a payment through a provider. Ask which one the product supports and what merchant configuration is required. A receipt labelled MoMo is not, by itself, evidence that a provider confirmed the payment.
Ventrix has payment-request workflows for configured Paystack or Hubtel accounts. Company enablement and merchant credentials are required. Read the MoMo integration guide before assuming payment prompts are available immediately after signup.
5. Staff access and accountability
Count the people who need access, not just the devices. Establish who can change prices, apply discounts, view sensitive reports and manage other staff. Individual access makes it easier to attribute an action than a shared owner login.
Have the supplier show the cashier view and the owner view. A system that looks convenient when every action is performed as the owner may work differently at the counter. Test the intended staff permissions before training the full team.
6. Branch visibility
If you have more than one shop, check that the displayed stock and reports identify the correct branch. Ask how permissions restrict a branch manager and how consolidated reporting differs from a local report. During an outage, remote information can be behind the disconnected counter.
Do not confuse support for multiple branches with branches being included in a particular price. Our multi-branch guide separates operational setup from subscription capacity.
7. Data access, support and exit costs
Ask how you obtain your records, what report exports cover and who helps when a terminal or peripheral stops working. Discuss onboarding, hardware, payment fees and any paid assistance separately from the software subscription. Exporting one report is not necessarily a complete migration of all records.
Keep a copy of the agreed configuration, contact details and implementation scope. For a bespoke deployment, obtain an explicit agreement about implementation and maintenance instead of treating enterprise language on a website as a finished technical specification.
A short, transparent shortlist
This table describes published starting points, not a laboratory test or a complete market survey. Missing information should trigger a question to the vendor, not an assumption that a capability is absent.
| Product | Published starting point | What to examine for your shop |
|---|---|---|
| Ventrix RMS | Free; Plus ₵150 per month | Offline workflow, payment setup, advanced reporting, staff capacity and branch add-ons |
| SellarPro | Solo GHS 99 per month; its page lists one location, up to five users and unlimited products | Compare the actual operating workflow and the suitable plan for your locations |
| Loyverse | Free POS core with optional paid add-ons | Price the employee, inventory and sales-history additions you need across your stores |

What Ventrix Free and Plus actually include
Free is a starting option for an owner-operated business: one branch, owner access, up to 50 active products and ₵5,000 monthly sales volume. It includes core POS and stock workflows under the published Free safeguards. A shop already beyond those limits should evaluate Plus rather than plan around a Free allowance that does not fit.
Plus is ₵150 per month, with an unlimited product catalog for legitimate business use, unlimited monthly sales volume, advanced analytics and CSV exports. Its operational toolkit includes consolidated branch reporting, POS discounts and price overrides within staff permissions, staff messaging and audit visibility. It includes one branch, an owner plus 2 staff accounts and 50 SMS per month; messaging still follows that allowance.
An additional branch is ₵50 per month and an additional staff account is ₵20 per month. Annual Plus base billing is ₵1,494 per year at the current annual discount. Compare the final checkout amount, interval and add-ons; processing fees are shown during payment.
The first eligible Free-to-Plus upgrade includes a 7-day trial, or 30 days for qualifying referrals, with payment setup required. This is a once-per-company offer. Existing active trials keep their stored dates. Custom company branding and tailored deployment are separately agreed under Custom; Vexa AI is not part of the current public offer.
Estimate the cost of your actual operation
For monthly Plus billing, start with the base, add the branches beyond the included one, and add staff beyond the included two. The owner is separate from those staff accounts. A second branch and several extra staff change the quote even when the product catalog is unlimited.
Then add costs outside that subscription: hardware, connectivity, paper, provider charges, optional implementation and any required power backup. Do not count a cashier's ability to record a MoMo label as a replacement for the provider's collection and settlement service.
The lowest starting price is not automatically the lowest operating cost, and a higher price does not automatically buy a better fit. The relevant comparison is the complete setup you can demonstrate and sustain.
Run a small pilot before moving the whole business
- Prepare a representative group of products and the intended staff roles.
- Use the actual counter hardware and a realistic basket.
- Test connected selling, a prepared offline sale and reconnection.
- Walk through cash, configured MoMo and an unresolved payment scenario.
- Check stock, a correction and the end-of-day reports.
- Obtain the full recurring cost and clarify support responsibilities.
- Train one counter first, confirm the records, then expand deliberately.
Keep the pilot controlled so you do not collect real money twice or mix test quantities into trading stock. Use provider sandbox facilities where appropriate. The purpose is to expose unclear assumptions before they become a cashier's problem.
Choose on evidence you can repeat
Ventrix is worth evaluating if you want connected POS, stock, staff and branch operations with a Ghana-focused starting point. The best evidence is your own successful pilot. Start with Free or compare Plus, then use the practical guides linked above to ask sharper questions of every vendor on your shortlist.
